Privacy Policy

Admission.ge is operated by Admission LLC, a Georgian education services company helping international students, recruiters, counselors, and university partners manage admissions workflows. This Privacy Policy explains how we collect, use, share, retain, and protect information when you use our website, application portal, support channels, and related services.

1. Information We Collect

The information we collect depends on how you use Admission.ge and which services you request. It may include:

  • Identity and contact details such as name, email address, phone number, nationality, date of birth, and passport information.
  • Application details such as education history, selected programs, intake preferences, academic records, certificates, transcripts, translations, and supporting documents.
  • Account and platform activity such as login events, profile updates, messages, uploaded files, application status changes, support requests, and communication preferences.
  • Payment and billing information, including transaction identifiers, invoice details, payment status, and records needed to reconcile paid services. Card or wallet details are handled by payment providers and are not stored by Admission.ge.
  • Technical information such as device type, browser, IP address, approximate location, cookies, analytics events, security logs, and error reports.
  • Recruiter, counselor, agency, and university representative information needed to manage institutional accounts, referrals, commissions, student support, and official admissions workflows.

2. How We Use Information

We use personal information to provide admissions services, operate the platform, and protect students and partners. This includes using information to:

  • Create and manage your account, profile, applications, uploaded documents, payments, and support history.
  • Review application materials, prepare university submissions, coordinate document translation or recognition steps, and communicate application progress.
  • Share relevant application information with universities, admissions teams, recruiters, counselors, payment processors, support providers, and other service providers involved in your request.
  • Send operational messages by email, phone, WhatsApp, SMS, in-app notification, or other channels you choose or use with us.
  • Improve platform reliability, security, accessibility, fraud prevention, analytics, support quality, and admissions services.
  • Comply with legal, regulatory, accounting, tax, university, audit, dispute-resolution, and recordkeeping obligations.

3. Legal Bases for Processing

Where privacy law requires a legal basis, we process information because it is needed to provide requested services or perform a contract, because you gave consent, because we have a legitimate interest in operating and securing our services, or because we must comply with legal and regulatory obligations.

4. How We Share Information

We share information only when needed for admissions, platform operations, legal compliance, or user support. Recipients may include Georgian and international universities, admissions representatives, recruiters, counselors, translation or document service providers, payment processors, cloud hosting and analytics providers, professional advisers, and authorities when legally required.

We do not sell personal information. If we use trusted technology providers for document parsing, translation, analytics, messaging, fraud prevention, or AI-assisted support, those providers may process information only for the service they provide to us and under appropriate confidentiality and security controls.

5. Payments

Payments may be processed through third-party payment providers. We receive records such as transaction ID, amount, currency, payment status, payer name, invoice references, and related billing information. We do not store full card numbers, bank account passwords, or payment wallet credentials.

6. Communications

We may contact you through email, phone, WhatsApp, SMS, in-app notifications, or other channels you use with us. These communications may include application updates, document requests, payment notices, support replies, security alerts, and service announcements. You can opt out of optional marketing messages, but we may still send service-related communications needed to manage your account or application.

7. Cookies and Analytics

We use cookies and similar technologies to keep you signed in, remember preferences, measure performance, understand how people use the platform, detect security issues, and improve our services. You can manage cookies through your browser settings, but some features may not work correctly without essential cookies.

8. Data Retention

We keep information for as long as needed to provide services, maintain admissions and payment records, comply with legal or university requirements, resolve disputes, prevent fraud, and enforce our agreements. When information is no longer needed, we delete it, anonymize it, or limit access according to our retention practices.

9. Security

We use administrative, technical, and organizational safeguards designed to protect information, including role-based access controls, secure authentication, activity logs, protected storage, encryption where appropriate, and restricted access to sensitive documents. No online service can guarantee absolute security, so please keep your account credentials private and notify us if you believe your account has been compromised.

10. International Transfers

Because admissions services may involve students, universities, recruiters, and providers in different countries, information may be processed outside your country of residence. When we transfer or store information internationally, we take steps intended to protect it in line with this Privacy Policy and applicable law.

11. Your Privacy Rights

Depending on where you live, you may have the right to:

  • Request access to personal information we hold about you.
  • Ask us to correct inaccurate or incomplete information.
  • Request deletion of information where we no longer need it or where deletion is required by applicable law.
  • Object to or restrict certain processing where applicable.
  • Request a portable copy of information you provided to us, where technically feasible.
  • Withdraw consent for optional communications or processing that depends on consent.

We may need to verify your identity before completing a privacy request. Some information may be retained where required for legal, accounting, admissions, fraud-prevention, or dispute-resolution purposes.

12. Children and Student Applicants

Admission.ge is intended for university applicants, students, recruiters, counselors, and education partners. If a minor uses our services, a parent, guardian, school, recruiter, or authorized representative should be involved where required by law or university procedure.

13. Changes to This Policy

We may update this Privacy Policy as our services, legal requirements, or data practices change. The updated version will be posted on this page with a new "Last updated" date.
